Before you arrive to collect a bike, it helps to have your documents organised. It saves time and prevents the most common problem I see: a traveller is ready to ride, but the paperwork is not.
I am Rimshan, owner of Rent Bikes Sri Lanka. This is the practical checklist I recommend customers prepare before a scooter or motorbike rental.
Exact legal requirements can change, so use this as a preparation guide and confirm the current rules for your own situation.
1. Your Passport or Valid Identification
Tourists should have valid identification available when arranging the rental. Your rental details should match your identity documents.
I recommend keeping a secure digital copy as a backup, but do not rely only on a photo if the original document is required for a particular process.
2. Your Original Driving Licence
Bring the original driving licence issued by your home country and make sure it covers the vehicle category you want to ride.
If you are renting a motorcycle, do not assume a car-only licence is enough.
3. International Driving Permit or Other Required Authorisation
Depending on your licence and the current Sri Lankan rules, you may need additional authorisation such as an IDP and/or local validation.
Read our International Driving Permit guide and Sri Lanka driving licence guide before your trip.
4. Rental Agreement
A clear rental agreement protects both the customer and the rental company. Before you sign, check:
- Rental dates
- Bike model
- Deposit amount
- Damage conditions
- Return location and time
- Any mileage or travel restrictions
- Emergency contact information
If anything is unclear, ask before you leave.
5. Deposit and Payment Details
Many rental bikes require a refundable deposit. For a number of our scooters and motorbikes, this is around €100 depending on the booking.
Confirm how the deposit is paid, how it is returned and what conditions could affect the refund.
6. Contact and Accommodation Details
It is useful to provide a current contact number or WhatsApp and the hotel, guesthouse or address where you are staying.
If you are moving around the island, send the initial pickup location and your approximate travel plan.
7. A Copy of the Bike Handover Condition
When you receive the bike, check it together with the rental provider. If there are existing scratches or marks, make sure they are noted.
I also recommend taking a few clear photos before you start riding. This makes the return process easier for everyone.
What Should You Check on the Bike?
- Tyres
- Brakes
- Lights
- Indicators
- Mirrors
- Horn
- Fuel level
- Helmet condition
Paperwork is important, but the physical bike check is just as important.
Do You Need to Leave Your Passport?
Rental procedures differ between companies. Before handing over any important original document, understand exactly why it is required and what the agreement says.
Ask questions if you are not comfortable with a condition.
Prepare Everything Before Arrival
If you send your travel dates and document questions before arriving, the pickup is usually much smoother. This is especially helpful if you are collecting near the airport or starting a long ride the same day.
